2013 Newbery-Caldecott-Wilder Banquet Information & FAQ's

Reserve a table for the banquet by submitting the Table Reservation Form to the ALSC office. A table can accommodate up to 10 indivduals and ensures that attendees will enjoy this exciting evening with their friends and colleagues!

If you wish to order one or more individual tickets, you may do so via regular conference registration at www.alaannual.org. Individual ticket holders will find open seating at non-reserved tables. If you order 10 individual tickets from conference registration, you will be ordering 10 individual open-seating tickets.

Festivities begin for the 75th Anniversary of the Caldecott Medal!

5:45 p.m.
Pre-Banquet Cash Bar Reception
Come early to mingle with friends and colleagues, celebrate 75 years of the Caldecott Medal on the red carpet!

6:30 p.m.
Banquet Doors Open

  • Individual ticket holders- You may sit at any unreserved table.  Servers will collect your ticket.
  • Table Hosts- The table number on your ticket will correspond with the number of the table (located on a stanchion).  Name tents with your name/organization will be placed on the table.

7:00 p.m.
ALSC President Carolyn Brodie will make opening remarks.

All ticket holders will be emailed instructions to request a vegetarian meal in May.

FAQ’s

Bus schedule
The hotel is located on the ALA Shuttle Bus route and there is will be a shuttle that runs from the Convention Center to the hotel. The last shuttle bus, en route to the hotel, will leave the Convention Center at 6:30 p.m.  Return service from the hotel to conference hotels will run from 8:00 p.m. – 12:00 a.m. and will use the same route numbers as the regular daytime service.  The last bus will leave the hotel at midnight. 

What if I lose my ticket?
Please visit the information desk, located outside the banquet room doors, as soon as possible upon your arrival. You will be issued a replacement ticket to present to your server.

Will tickets be available at the door?
Tickets will not be available for purchase at the door.  Individual ticket sales end at noon Friday, June 28 at the onsite registration desk.  Ticket sales must close at this time in order to provide an accurate count to the caterer.

On occasion, a guest will not be able to attend.  If far enough in advance, they may try to sell the ticket on ALSC-L.  We have also had situations where those who have extra tickets bring them to the information desk, free to the first person who inquires about extra tickets at the desk.

Are there assigned seats? How do I find a seat?
Those who purchased an individual ticket are not assigned a seat.  You may sit at any unreserved table.  As a reminder, doors open at 6:30 p.m.   Attendees will not be allowed in the room before this time, so that hotel staff can finish setting the room and make final preparations for this special evening.

Those who purchased a table will receive a table assignment in advance and a table ticket.  One representative may check-in with an ALSC staff member, at the information desk next to the banquet room doors, and gain early access to place seating assignments.  Your representative will be asked to leave the room when finished, so that hotel staff may complete their preparations.

What should I wear?
The Newbery Caldecott Wilder Banquet is a very special celebratory evening.  Guests are encouraged to dress in cocktail attire.  Please bring a wrap or sweater as the room is large and can become cool.  Additionally, you will want to wear comfortable shoes if you plan to go through the receiving line.  There will be a long wait as 1,200 people go through the line.

Vegetarian/Medical Dietary Restrictions
Guest who provided an email address when registering for their individual ticket will receive an email with a special web URL where they can place their request.  Table hosts will be asked to send the same email request to their guests. Due to deadlines with the caterer, we will not be able accommodate requests after June 21.   

Is the cash bar open throughout the dinner?
Yes, a cash bar will be open in the back of the room throughout the course of dinner.

Will the authors/illustrators be signing books?
Our Award and Honorees will not be signing books during the banquet.  However, check the conference program guide.  There is a good chance they will be signing in their publisher’s booth.  There will also be a chance to meet and say a few words to your favorite authors/illustrators in the receiving line immediately after the award ceremony.

Receiving line etiquette
The receiving line is a great way to say hello and convey your congratulations to the Awardees and Honorees.  However, with 1,200 people going through the line, we do ask that you keep your comments as brief as possible so that everyone has a chance to meet the Awardees and Honorees.
