Site Support Notebook

This checklist provides a general overview of exhibition publicity procedures. For more detailed information, please thoroughly review the Publicity section of the site support notebook.

  • To meet media and other deadlines, you will need to start promoting the exhibition and events at least six weeks to two months in advance. See the “Promotion guide” in the Publicity section of the site support notebook for more detailed information.

  • Use official exhibition credit information on all printed exhibition materials. Use sponsor and funder logos on materials wherever possible.





    Harry Potter’s World: Renaissance Science, Magic, and Medicine
    , a traveling exhibition for libraries, was organized by the National Library of Medicine, National Institutes of Health, Bethesda, Maryland. The exhibition tour is coordinated by the American Library Association Public Programs Office, Chicago.

  • Stress sponsorship and funding credits in press releases, press events and all public programs.

  • Publicity images (found on the PR CD) provided to hosting libraries may be used for noncommercial or educational activities and for exhibition promotion only.

    • All publicity images must be accompanied by the ownership credits provided with the image.

    • See “Guidelines for use of publicity images” in the site support notebook for more detailed information.

  • Libraries must submit—at least three days before printing or posting—all draft copy of publicity materials to the ALA. Please e-mail drafts to both Susan Brandehoff,
    sbrandehoff@ala.org, and Jennifer Dominiak,
    jdominiak@ala.org, or fax to 312-280-5759. Materials will be reviewed immediately. ALA only checks to make sure that credit information is accurate.

  • If you have an exhibition Web page on your library Web site, send an e-mail with the Web address to
    publicprograms@ala.org. We will provide a link from our Web site to yours.

  • Save three copies of all printed press coverage and submit to the National Library of Medicine, Exhibition Registrar with your Exhibition Survey/Final Report. The Exhibition Survey/Final Report must be received by the NLM within two weeks of the closing of the exhibition. If possible, a digital image of your installation would be appreciated.
