Site Support Notebook

This checklist provides a general overview of exhibition logistics. For more detailed information, please thoroughly review the Logistics section of the site support notebook.

  • Shipper contacts host library to arrange for convenient exhibit delivery time. If you have not heard from the shipper at least 48 hours before the exhibit should be delivered, please call shipper at the number listed below. Host library should receive the exhibit on or before Wednesday, the first day of your exhibit display period.

  • Allow approximately 3 hours for 2–3 three people to unpack and set up exhibit.

  • Check the condition of the exhibit as you unpack crates.

    • If any exhibit parts or materials are missing, please notify the ALA immediately.

    • If you observe damage that prevents display of the exhibit and/or requires replacement, immediately call Sofiana Peterson at 1-800-545-2433, ext. 5289. Please take photos and e-mail them to skrueger@ala.org.

    • Complete the Condition/Damage Report form (located in the “Logistics” section of the site support notebook and online) within 48 hours of receiving the exhibition and fax or e-mail to: Project Coordinator/Registrar, Fax: 312-280-5759; e-mail publicprograms@ala.org or skrueger@ala.org.

  • Begin programming no sooner than Thursday evening. Friday openings and programs are best.

  • The last date in your exhibition period is a Friday. Libraries should have the exhibition dismantled and ready for pick-up on the following Monday morning.

  • Shipper contacts host library to arrange for convenient exhibit pick-up time. If you have not heard from shipper at least 24 hours before the end of your exhibit period, please call shipper at the number listed below.

  • Return a completed Final Report form to the ALA within 30 days of the closing of the exhibition. Don’t forget to include two copies of all library-produced publicity pieces with the final report. The Final Report form is available in the “Logistics” section as well as in the online site support notebook.
