A key retirement at our Library System resulted in the workload of managing the electronic resources collection to be divided between Technical Services and Collection Development. After some time investigating of what was inherited, we realized that we needed to conduct a comprehensive inventory of our electronic resource package subscriptions—including databases, journal packages, and book packages—to ensure the correct content was activated in our LMS and discovery layer, and that we had a complete accounting of what we were paying for. In this e-Forum, we will share our process, tools, best practices, and lessons learned for a project of this size and scope.
Summary from the Hosts
Thanks for a wonderful e-Forum! We hope this has been as enlightening as informative for you as it was for us.
In summary, those participating in the discussion have talked about various resources they have and different problems they have encountered with their eresources. We talked about how to distribute workloads for an inventory project and best practices for updating stakeholders. There was a project summary that we included in attachment to Q4, this covered what the scope of our project was, who was included, workloads, and broad workflows. We hope that everyone found this helpful in starting your own eresources inventory projects!
We have thoroughly enjoyed our discussions and thank you all for the participation!
Learning Outcomes
At the end of this e-Forum, attendees will have learned:
- best practices for starting your own inventory project;
- how to divide the work into manageable sub-projects; how to determine who should be involved and what tasks they will be responsible for; and
- how to create and maintain a repository of updated information for future work.
