ITS is ALA’s travel management company for both hotel and airline reservations. As an ALA attendee or exhibitor, you are eligible for special airline and hotel rates.


Headquarter Hotels will be the Marriott Copley Place, Sheraton Boston Hotel and the Westin Copley Place.

Hotel Reservations General Information

Hotel rates and a hotel location map are available in PDF format. You may need to download Adobe Acrobat. The hotel location map may require you to update Acrobat before you can open it. If you cannot open the hotel map, please try updating Acrobat.

To make your reservations online, please visit our online form. The housing reservation form features ssl encryption to ensure the privacy of your information.


To make your reservations over the phone, contact the ALA travel desk at 1-800-974-9833 or 847-282-2529 and identify yourself as an attendee or exhibitor of the ALA Midwinter Meeting in Boston. The ALA Travel Desk is open Monday through Friday from 8:00 am – 5:00 pm CST.


To make reservations via mail or fax, you can print out a PDF of the paper form, and mail or fax it in.


Hotel Reservation Deadlines


Hotel reservation requests will be accepted until December 10, 2004, subject to availability. Rates are quoted for the room, not per person, and all rooms are assigned on a first-come, first-served basis. Special rates are available only when you book directly with the ALA Travel Desk. All rooms are subject to applicable tax, currently at 12.45% for hotel tax. After December 10, 2004, the ALA Travel Desk will continue to make reservations on a space available basis only. (i.e., book early to get the hotel of your choice).


Hotel Confirmations, Cancellations and Changes


Confirmation of the room reservation will be acknowledged by the travel desk and sent within 72 hours. Any questions regarding your reservation should be directed to the ALA Travel Desk at 1-800-974-9833 or 847-282- 2529, not the hotel. A first night’s room and tax deposit (payable by credit card) is required to hold hotel reservations. Your first night’s deposit is refundable with at least a 72 hour cancellation notification to the hotel, prior to the day of your arrival. Check your confirmation for details on your hotel’s policy.

Airline Reservation Information

The ALA Travel Desk has negotiated exclusive airfare discounts to Boston for all ALA members and exhibitors.


United Airlines is offering Midwinter attendees and exhibitors a 10% discount off the lowest applicable fare when you book and ticket 30 days or more prior to travel. Save 5% off the lowest applicable fare when you book within 29 days of travel. Applicable restrictions must be met.


To make your airline reservations by phone, call the ALA travel desk 1-800-621-1083 or 847-940-1176, Monday through Friday from 8:00 am – 5:00 pm (outside the U.S. and Canada, call 847-940-1176).


To make your airline reservations online, You can logon to  our online airline reservation form. Easy payment by major credit cards. A $20.00 service fee will be charged per ticket.


To make your reservations directly through United Airlines, call 800-521-4041 and providing ALA ID# 502CQ to receive discounts.

Airport Transportation Information


Boston’s Logan Airport is serviced by 30 major and commuter airlines. For terminal and airline information visit Logan Airport has a comprehensive ground transportation service. Massachusetts Bay Transit Authority operates subway and bus routes to and from Logan. City buses, and taxis are available outside baggage claim at all airport terminals. Train and Bus Travel to Boston

Amtrak: numerous Amtrak train routes terminate in or pass through Boston at one of several Amtrak stations. For reservations or information, contact Amtrak at 800-872-7245 or go online at

Rental Cars

ALA has negotiated exclusive rates with Avis for rental cars during the meeting. For rates and reservations call 800-331-1600 or access the website for this event at You must mention the Avis Worldwide discount number (AWD), D005980, when calling to receive the special discount.

Public Transportation in Boston

Massachusetts Bay Transportation Authority (MBTA) buses and subways provide convenient transportation throughout the Boston area, including travel to and from the airport, all shopping centers and attractions. Bus schedules differ, but most hotels and attractions have service regularly, and the base fare is $.90. The green line subway runs through the Boston Common/Back Bay area, where the ALA hotels are located. Subway fares are $1.25. For further information, visit the MBTA website at

ALA Shuttle Bus Service and Walking Directions

Complimentary shuttle bus service is provided courtesy of Gale. Regularly scheduled buses will operate between hotels (not within walking distance) and the convention center. Bus Schedules will be published in  Cognotes and   available at the convention center and hotel lobbies.

Please note: the following hotels are considered walking distance from the Convention Center, and will not have regularly scheduled shuttle buses: Sheraton Boston, Westin Copley Place, Marriott Copley Place, Hilton Boston Back Bay, Fairmont Copley Plaza, Colonnade Boston, Copley Square Hotel, Lenox Hotel, Midtown Hotel.

We have "Walking Directions" available to these hotels, with the quickest and mostly indoor routes between these hotels and the Convention Center.

In case of inclement weather, buses may be added to serve the walking hotels. However, due to the narrow streets of Boston, walking is often easier and quicker.

If you need a bus from one of the walking hotels, or need an accessible bus from any hotel, please call the busing company at 888-825-7712 to schedule a pick-up.
