Spectrum Advisory Committee, a subcommittee of the ODLOS Advisory Committee

Charge

To oversee, coordinate, and support activities of the Spectrum Scholarship Program and related diversity pre-professional development activities; to appoint potential award jurors for the Spectrum selection process; to plan and execute the Spectrum Institute; to advocate for and advise on all Spectrum fundraising and marketing initiatives; and to ensure community building amongst Spectrum recipients through activities designed  to (1)  increase the participation of Spectrum Scholars in ALA Committees and leadership; and (2) promote the interests and concerns of the Spectrum Scholars throughout the Association.

Composition

The Spectrum Advisory Committee consists of 10-15 members appointed by the Chair of the Office for Diversity, Literacy, and Outreach Services Committee serving 2 year terms and led by a chair, appointed annually.  60% of the committee members should be alumni of the Spectrum Scholarship Program.

The Spectrum Advisory Committee includes the following roles and working groups:

Chair - Plans and coordinates the committee's work for the year in accordance with the goals of the Spectrum Advisory Committee

  • Coordinate Midwinter Meeting and Annual Conference meetings. The chair should consult with committee members about the best time to meet, in an effort to avoid conflicts.
  • Conduct Spectrum Advisory Council meetings, manage recording and distribution of minutes to membership
  • Recommend reappointment of effective committee members, and suggest names of potential committee members
  • Finalize all Jury appointments
  • Routinely report to the ODLOS Advisory Committee and serve as Ex-Officio member
  • Assist Staff Liaison in ensuring effective administration of all SAC business

Alumni Liaison (1 member)- Shares information and encourages conversation between Spectrum Scholar alumni and the Spectrum Advisory Board

  • Encourages alumni awareness of current Spectrum activity and initiatives, helps cultivate an active community for mentorship and service opportunities

Cohort Liaison  (1 member) - Shares information and encourages conversation between current Spectrum Scholar Cohort and the Spectrum Advisory Board

  • Monitors both Spectrum Alumni and Current Spectrum Cohort listserv and shares relevant information between groups.
  • Encourages success of current Spectrum Cohort through periodic virtual check-ins, conversation igniters, and requests for updates
  • Shadows the Communications team, with the expectation of joining the Communications Committee after the ALA Annual Conference.

Communication - (2-3 members) - Manages Spectrum’s comprehensive communications strategy including website and social media outlets

  • Develop, review and revise procedures for website content management, solicit content and feedback from the community, monitor implementation of website related tasks, and advise the webmaster on priorities
  • Make policy recommendations to SAC on issues such as website appearance, enhancements to the website, and the use of outside contractors
  • Post regularly to all Spectrum related social media accounts including Facebook and Twitter
  • Monitor the achievements of Spectrum alumni and communicate to wider community (task can be divided amongst committee members by spans of cohort years)
  • Distribute all calls for participation in Spectrum related events (promotion of Spectrum application, Spectrum Leadership Institute CFPs, etc)
  • Periodically survey existing Spectrum publications, identify areas where publications are needed, and make recommendations to the SAC
  • Monitor all #spectrumcohort, #scholars, and #spectrumhelp listserv communication  

Donor Acknowledgement  (1 member) - Manage all Spectrum Scholarship Program fundraising acknowledgement

  • Provide personal recognition to all organizations, alumni, and individuals who contribute to Spectrum with cash, in-kind contributions, and other gifts (in conjunction with the Office for Diversity, Literacy, and Outreach)
  • Identify and manage fundraising opportunities at events
  • Organize and execute at least one major Spectrum related fundraising activity each year (working with Events and Communications committee)

Events (1-2 members) - Manages all Spectrum related events

  • Lead planning and execution of Spectrum Leadership Institute for new scholars
  • Identify opportunities to support networking of Spectrum Scholars both physically and virtually throughout the year
  • Monitor all regional and national groups targeting early career and diverse professionals for opportunities to meet at the local level (ex. local chapters of NMRT, Reforma, etc)
  • Organize and execute at least one major Spectrum related fundraising activity each year (working with Development committee) 

Professional Development (3 members)- Heightens awareness and support of professional development opportunities for current Spectrum Scholars and Spectrum alumni

  • Develop and maintain a centralized list of publishing opportunities
  • Develop and maintain a centralized calendar of conferences and events
  • Coordinate with Communications committee to identify and distribute calls for book chapters/articles and conference proposals
  • Identify additional resources to assist new professionals in advancing their professional development (mentoring programs, CV-building activities, job search resources etc)
  • Coordinate with Communication Committee to recognize the professional achievements of Spectrum Scholars and alumni
