ALCTS CCS Education, Training, and Recruitment for Cataloging
Minutes - January 13, 2001

B. Picknally Camden requested members review the roster and submit any changes or corrections to her.

Minutes from Annual 2000 meeting were approved as amended.

Mentoring Pilot Program

B. Picknally Camden gave a brief overview of the project up to this point. The project matches practitioners with LIS students interested in cataloging. The first four practitioner-student pairings were made in April 2000 with CETRC committee members acting as liaisons. The current pairs were recruited after contacting deans of LIS schools.

Reports from liaisons on mentoring pairs were given. A. Stamm, serving as both mentor and liaison, reported successful contact with her mentee. M. Behr and D. Boehr reported problems establishing contact with the mentee portion of the pair they liaison. Another attempt will be made to reach the mentee using a new address. B. Picknally Camden reported contact with her mentor-mentee pair and that the mentee had one year remaining before graduation. No status report was given for the fourth mentor-mentee pair.

M. Prentice-Hecker presented an updated version of the CETRC Mentoring Bibliography. An asterisk indicates additions to the bibliography. Margaret will check OCLC's Firstsearch again for any other additions and will send a copy of the bibliography to liaisons to forward to mentors. The CCS Executive Board approved the original bibliography.

C. Knight discussed assessment documents for the pilot project. B. Picknally Camden will present the draft of the mentor and mentee surveys Tuesday before the CCS Executive Board. The board must approve all items using ALCTS letterhead. Questions were raised concerning the best method of survey distribution. One idea was to send the document as an attachment that one could complete and then return electronically. The suggestion was made to send the letter and survey this April one year after the pilot program began. Respondents would have two weeks to complete the survey before any follow-up is done. The target date for sending the letter and survey is April 1 with April 15 as the deadline for responses. D. Coulombe will compile the responses received. The draft of the cover letter was reviewed. The survey deadline and Dominique's contact information will be added to the letter.

Timetable for continuing/expanding the pilot project:
Questions were raised about the continuation of the pilot project. Should the pilot be expanded during its second year? One year, regardless of graduation date, was discussed as the appropriate amount of time for the mentoring relationship. What measures determine if the pilot project was successful? How can the committee make the mentoring program self-sustaining?

Is it harder to attract mentors or mentees? The consensus here was it is more difficult to attract mentees. Use of NMRT-L and asking ALA to generate a list of student members were suggested as possible solutions to the shortage of mentees. D. Boehr offered to recruit from her cataloging class at the University of Maryland. Issues were also raised concerning the need for the relatively close proximity of mentors to mentees. Here, it was suggested that mentors be contacted first in order to know where one should recruit mentees. The call for mentors could be sent to AN2 and possibly posted on JESSE, Alise's electronic discussion list. B. Picknally Camden has business cards from those interested in serving as mentors from the initial round of the project.

Tentative timetable for pilot project:

February: Send recruiting letters to mentors and mentees. The letters were previously only sent to deans and cataloging professors. It was agreed that personal contact, including a formal letter along with an informal email sent to professors might yield better results than letters to deans. B. Picknally Camden will send the ALCTS letterhead and update the letter for everyone to send to her contact around February 15. Agreed upon contacts are as follows: Allyson Carlyle, U. Washington (M. Behr), Lois Mai Chan, U. Kentucky (A. Stamm), Sheila Intner, Simmons (D. Boehr), University of Maryland (D. Boehr), Gertrude (C. Knight), Kathy Henderson, U. Illinois (A. Stamm), Nancy Olson, retired (M. Turvey), Kent State (D. Coulombe), Arlene Taylor, U. Pittsburgh (D. Coulombe), Christine Berringer, U New Hampshire (D. Coulombe).

March: Finalize list of mentors and mentees in order to maintain geographic proximity. March 15 was suggested as a deadline for recruiting mentors. B. Picknally Camden will be in charge of the master list of mentors and mentees. This should reduce confusion, as one person will be the contact for both groups.

April: Send information on program to various lists (NMRT-L, etc.) in order to solicit additional mentees. M. Behr will draft announcements for NMRT-L, JESSE, etc. Match mentors and mentees. Send packet containing cataloging job announcements (D. Boehr will collect) and mentoring bibliography.

Other ALCTS/CCS business

The committee reviewed the ALCTS Strategic Plan, 2001-2005 to determine where CETRC fits in.

Continuing education

Is ALCTS participating in WebCT for continuing education? WebCT is distance education software. What role should ALCTS play in continuing education? It was suggested that a good place for ALCTS to begin is to act as an information clearinghouse for continuing education opportunities. Fedlink's use of videotapes and use of OCLC as a downlink were mentioned as options for continuing education activities. One problem with current ALCTS institutes is that the price is beyond the reach of many, particularly paraprofessionals and those in smaller operations.

Other business:

Should the committee develop a program for Annual 2002 on the mentoring pilot project? If interested, the program would need to be approved by June 2001 by the ALCTS Programming Committee. Possible content for a program could include the LC mentoring project, use of interns, and the CETRC mentoring pilot. B. Picknally Camden will email the committee in one month for more feedback.
